4FUN Group – Terms and Conditions of Hire
General Terms
It is the responsibility of the Hirer to ensure that all reasonable steps are taken to avoid injury to persons and damage to the hired equipment. 4FUN Group reserves the right to refuse or cancel any hire at any time if these Terms and Conditions are not adhered to.
If the Hirer is uncertain about any part of these Terms and Conditions, they must contact 4FUN Group immediately for clarification.
During the hire period, the Hirer is fully responsible for the supervision, care, safe use and security of the equipment, including the behaviour of all persons using the equipment, regardless of age.
Responsibility for Equipment
The Hirer is solely responsible for ensuring that all hired equipment is kept safe, secure, and in good condition throughout the hire period. The Hirer accepts full liability for any loss, theft, damage, or destruction of the equipment from the time of delivery until it is returned to 4FUN Group.
In the event that any equipment is lost, stolen, damaged or rendered unusable during the hire period, the Hirer shall be responsible for all associated costs, including but not limited to repair, replacement, cleaning, restoration, and any related expenses incurred by 4FUN Group.
4FUN Group reserves the right to charge the Hirer the full replacement value of any equipment that cannot be repaired or recovered.
Payments
- All bookings must be made online and require payment of a non-refundable booking fee to secure the booking.
- Bookings with a value exceeding £300 may require a higher non-refundable booking fee.
- Once a booking fee has been paid, the equipment is reserved exclusively for the Hirer and will no longer be available for other customers.
- Booking fees are non-refundable as they cover administration costs and reservation of equipment.
- Payment in full must be made online prior to delivery or setup. We are unable to set up unless full payment has been made.
- Failure to pay in full before delivery may result in cancellation of the booking without refund of the booking fee.
- We do not accept cash payments.
Delivery, Setup and Collection
- Deliveries and collections are carried out between 8:00am and 5:00pm unless otherwise agreed.
- Delivery charges are based on postcode and will be displayed during the booking process.
- Estimated delivery times are confirmed by email approximately 24 hours before the booking date.
- For venue or hall bookings, access times and event times must be confirmed and agreed in writing before booking.
- The Hirer must ensure there is adequate space, safe access, and a suitable surface for setup. Access routes must be at least 70cm wide and free from obstructions.
- For indoor bookings, the Hirer must ensure sufficient ceiling height for the equipment.
- No refund will be provided if delivery or setup cannot be completed due to insufficient space, unsafe conditions, inaccessible locations, or unsuitable surfaces.
- Late collections after 5:00pm may incur an additional charge.
- Overnight hire may be available subject to availability, weather conditions, and a secure private location.
- 4FUN Group reserves the right to cancel or delay delivery due to adverse weather, vehicle breakdown, illness, or circumstances beyond our control.
- The Hirer is responsible for ensuring all equipment is available for collection at the agreed time.
- Equipment not available at collection remains the Hirer’s responsibility and may incur additional charges.
- If collection cannot be completed due to restricted access or delays caused by the Hirer, a £50 additional charge may apply.
- The Hirer must not attempt repairs or modifications to any equipment.
Booking Cancellations
- Cancellations made 28 days or more before the hire date will forfeit the non-refundable booking fee only. Remaining balances will not be payable.
- Subject to availability, bookings cancelled with more than 28 days’ notice may have the booking fee transferred once to an alternative date within 3 months.
- Cancellations made less than 28 days before the hire date, including same-day cancellations, will forfeit the booking fee and require payment of 50% of the remaining balance.
- All cancellations must be submitted in writing by email to info@4fungroup.co.uk and acknowledged by 4FUN Group.
- If setup is aborted due to lack of space, unsuitable conditions, inaccessible setup areas, or unsafe environments, the full booking amount remains payable.
- 4FUN Group reserves the right to cancel any booking where health and safety may be compromised.
- No refunds will be issued for payments already made unless agreed otherwise by 4FUN Group.
Change of Booking Date
- A change of booking date is treated as a cancellation of the original booking and a new booking request.
- Date changes are subject to availability and may require a new booking fee.
- Requests to change dates more than 28 days before the hire date may allow transfer of the booking fee once within a 3-month period, subject to availability.
- Requests made less than 28 days before the hire date will be treated in line with the cancellation policy.
- All requests to change dates must be made in writing by email and acknowledged by 4FUN Group.
Weather Related Cancellations
- Outdoor bookings are made at the Hirer’s own risk in relation to weather conditions.
- 4FUN Group strongly recommends indoor venues for guaranteed events.
- Outdoor bookings will only be cancelled where weather conditions create a health and safety risk, including high winds, heavy rain, or severe weather.
- Weather conditions are monitored using the Met Office forecast.
- Decisions regarding weather-related cancellations are generally made on the morning of the hire date.
- If the Hirer chooses to cancel due to poor weather forecasts, standard cancellation charges will apply.
- Where 4FUN Group cancels due to unsafe weather conditions, payments may be transferred to an alternative date within 3 months, subject to availability.
- Booking fees and payments are non-refundable.
Inflatables – Wet Weather Conditions
- Inflatables must not be stored wet, as this may cause damage.
- Inflatables may only be delivered in wet conditions where it is safe to do so.
- No refund will be issued where inflatables are unused due to weather conditions.
- Excessively dirty inflatables may incur a cleaning charge of £50 per inflatable.
- If inflatables are switched off during rainfall and become water damaged internally, a drying charge of £75 per inflatable may apply.
- Inflatables must remain inflated during rain unless instructed otherwise by 4FUN Group.
- Rain covers may be provided for overnight hires where appropriate.
Changes to Products and Booking Value
- Changes to products are subject to availability.
- Reductions in booking value may not be permitted after booking confirmation.
- Additional items may be added subject to availability and revised pricing.
Bouncy Castles and Inflatable Slides – Safety Rules
- Children’s inflatables are for users aged 12 years and under unless otherwise specified.
- No food, drink, chewing gum, face paint, party poppers, streamers, silly string, or ink-based products are permitted on or near the inflatable.
- Shoes, glasses, jewellery, badges, and sharp objects must be removed before use.
- Smoking, barbecues, heaters, or cooking equipment are not permitted near the inflatable.
- Climbing, hanging, or sitting on inflatable walls is strictly prohibited.
- A responsible adult must supervise the inflatable at all times.
- Alcohol or drugs must not be consumed by anyone supervising or using the inflatable.
- Overcrowding must be avoided and users should be grouped by similar age and size where possible.
- Rough play, wrestling, pushing, collisions, and somersaults are strictly prohibited.
- Users must not bounce on the front safety step.
- No one may use the inflatable during inflation or deflation.
- Pets, toys, and sharp instruments are not permitted on or near the inflatable.
- If the inflatable becomes wet on the jumping surface, use should stop immediately.
- In heavy rain, the inflatable should be switched off where instructed by 4FUN Group.
- In the event of blower failure, all users must leave the inflatable immediately and 4FUN Group must be contacted.
Hot Tub Safety Rules
- Hot tubs must not be used during pregnancy without medical advice.
- Anyone suffering from illness, infections, open wounds, or contagious conditions must not use the hot tub.
- Persons with medical conditions should seek medical advice before use.
- Children under 5 years old are not permitted in the hot tub.
- Anyone under 16 years old must be supervised at all times.
- Users must not consume excessive alcohol or drugs before or during use.
- Maximum recommended use is 20 minutes at a time.
- Users should shower before and after use.
- Glass items are not permitted near the hot tub.
- Electrical appliances must not be used near the hot tub.
- Smoking is prohibited in or near the hot tub.
- Maximum occupancy is 7 persons at any one time.
- Hot tub covers must be secured when not in use.
Water Treatment and Chemicals
- All hot tubs are thoroughly cleaned and sanitised between hires.
- Chlorine levels must be checked daily using the test strips provided.
- Chlorine products must be handled carefully and kept away from children.
- Anyone with chlorine sensitivity or allergies should seek medical advice before use.
Hot Tub Faults and Call Out Charges
- Full instructions for operation and maintenance will be provided upon delivery.
- Failure to follow instructions may result in water contamination, equipment failure, or additional charges.
- Any issues must be reported immediately to 4FUN Group on 01494 211 386.
- If telephone support cannot resolve the issue, a call-out may be arranged.
- Call-outs caused by misuse or failure to follow instructions may incur a £40 call-out fee plus travel charges.
- No charge will apply where faults are caused by equipment failure and not misuse.
Issues During the Hire Period
If any issues arise during the hire period, the Hirer must contact 4FUN Group immediately on 01494 211 386.
If no answer is received, the Hirer must leave a voicemail with their name, contact number, and details of the issue.
4FUN Group cannot investigate or resolve issues retrospectively if they were not reported during the hire period.
Errors and Omissions
The Hirer is responsible for ensuring all information provided during booking is accurate and complete.
4FUN Group reserves the right to cancel bookings where incorrect or incomplete information has been supplied, including but not limited to:
- Incorrect package selection
- Incorrect booking dates
- Incorrect delivery address or contact details
- Failure to respond to communication requests within reasonable timeframes
Any resulting losses or charges arising from incorrect information supplied by the Hirer remain the responsibility of the Hirer.
